Zentle Reminder ("we", "us") is an app for small shops. It helps a shop keep a record of customers who buy on credit. This policy explains what information we collect, why we collect it, and what choices you have. It applies to shop owners who use the app, and also to the customers whose details are saved in it.

1. Information we collect

From shop owners who sign up: name, shop name, mobile number, and a 4-digit PIN to log in. We do not save the PIN itself. We save it in a scrambled form, so nobody can read it.

Added by shop owners about their customers: the customer's name, WhatsApp number, their bills, the payments they made, notes, and photos of bills. Notes and photos are optional.

Created when you use the app: reminder settings, a record of which reminders were sent or skipped, and basic technical logs to help us fix problems.

We do not collect card details, bank details, government ID numbers, or your location.

2. How we use information

• To keep each shop's credit records and work out how much is still due.
• To send payment reminders for a shop to its own customers.
• To log shop owners in safely, and to block an account after too many wrong PIN tries.
• To fix problems and keep the service working.

We do not use this information for advertising. We do not build profiles about people.

3. WhatsApp and messaging

We send reminders through the WhatsApp Business Platform. We follow these rules:

• We send messages only to a shop's own customers. These are people who bought something on credit from that shop and still owe money for it.
• A reminder gives the shop name and the amount due, and asks politely.
• We do not send advertising, marketing or bulk messages.
• When a customer pays the full amount, the reminders stop by themselves.
• We do not buy, sell, rent or share contact lists.

4. Sharing of information

We do not sell personal information. We share it only with these parties:

• WhatsApp and Meta Platforms. We share the customer's WhatsApp number and the reminder text. This is only so the message can be delivered.
• Our hosting provider. Your data is stored on servers that we control.
• Government or legal authorities, but only when the law requires us to share it.

Only that shop can see its own records. One shop cannot see the customers, bills or amounts of another shop.

5. Data retention and deletion

We keep your information while your account is open. A credit record is only useful if it is complete, so we do not delete it on our own. When a shop owner deletes a customer or a bill, it is removed from their records.

You can ask us to delete your account and your records at any time. The Data Deletion page explains how. You can also email hello@zentlereminder.com. We finish these requests within 30 days, after we check who is asking. We only keep something if the law says we must.

6. Security

We never save your PIN in a readable form. We scramble it first, using bcrypt. The connection between your phone and our servers is encrypted with HTTPS. Only the shop that is logged in can see its own data. If someone enters the wrong PIN too many times, we lock the account for a short time.

No system is fully safe, so we cannot promise complete security. But we take these steps seriously and we check them often.

7. Your rights

Subject to applicable law, you may ask us to:

• See the personal information we hold about you.
• Correct anything that is wrong.
• Delete your information. See the Data Deletion page.
• Object to or limit how we use it.
• Withdraw your permission to receive reminder messages.

Email hello@zentlereminder.com. We reply within 30 days. If you are a customer of a shop, and not a shop owner, you can still contact us. We will work with the shop to help you.

8. Cookies and local storage

We do not use advertising or tracking cookies. The app saves a login token and a few settings in your browser, so you stay logged in. If you clear your browser data, these are removed.

9. Children

This service is for adults who run a business. We do not collect information from children under 13 on purpose. If you think we have, please contact us and we will delete it.

10. Changes to this policy

We may change this policy. When we do, we change the date at the top. If the change is important, we will also tell you in the app.
